The Best Notion Blog Workflow for Content Teams

Content teams need a workflow that handles every stage of the process: ideation, writing, editing, review, and publishing. Most teams cobble this together across multiple tools — Google Docs for writing, Trello for tracking, WordPress for publishing, and Slack for coordination. It's fragmented and things fall through the cracks.

The Team Workflow

Here's a typical workflow for a content team using Notion and Notipo:

  1. Ideation — The content manager creates a new row in the database with a topic, target keyword, category, and brief notes. Status: “Idea.”
  2. Assignment — The content manager assigns a writer and sets a due date. Status: “Assigned.”
  3. Writing — The writer opens the page, reads the notes, and writes the post directly in Notion. They fill in the Slug, SEO Keyword, and Featured Image Title properties. Status: “Writing.”
  4. Editorial Review — The writer changes status to “Review.” The editor reads the post in Notion, leaves inline comments, and suggests changes. The writer makes revisions.
  5. Sync to WordPress — When the editor approves, they change the status to “Post to Wordpress.” Notipo automatically syncs the content, images, and metadata to WordPress as a draft.
  6. WordPress Review — The editor checks the WordPress draft preview: formatting, images, SEO metadata, and featured image. If changes are needed, edit in Notion and use “Update Wordpress” to re-sync.
  7. Publish — When everything looks good, change the status to “Publish.” The post goes live on WordPress and the WordPress Link updates to the live URL.

Writing in Notion

Notion's editor supports everything you need for blog content. All of these blocks convert cleanly to WordPress via Notipo:

  • Rich text — Bold, italic, underline, strikethrough, inline code, and links.
  • Headings — H1, H2, and H3 for content structure.
  • Lists — Bulleted, numbered, and to-do lists.
  • Images — Drag and drop or paste. Notipo uploads them to your WordPress media library.
  • Code blocks — With language selection for syntax highlighting.
  • Quotes — Block quotes with attribution.
  • Dividers — Horizontal rules for section breaks.

Tracking and Monitoring

Scaling SEO Across the Team

SEO metadata is managed entirely in Notion. Writers fill in the SEO Keyword property, and Notipo applies it to Rank Math on WordPress. The content manager can add an “SEO Keyword” column to the table view to review all keywords at a glance, spot duplicates, and ensure keyword coverage across the blog.
